September is National Emergency Preparedness Month… Are you prepared?
Emergencies, whether natural disasters, cyber-attacks, or unexpected health crises, can strike at any moment. Having a plan in place can significantly improve a company’s ability to respond swiftly and protect its workforce. National Preparedness Month is the perfect time for organizations to review and enhance their emergency plans and adapt to various risks and safeguard operations.
How can my organization participate?
By promoting preparedness, organizations not only ensure the safety of their employees but also reduce downtime and financial losses. Here are some ways to participate in National Preparedness Month and ensure your employees are well-prepared for emergencies:
- Develop a tailored workplace emergency plan: Assess the organization's unique risk factors that consider hazards such as regional weather events, facility-specific risks, and health crises. The plan should include clear communication protocols using tools such as text alerts, emails, and public announcements to notify employees about emergencies. Additionally, design maps that clearly mark evacuation routes, assembly points, and shelter-in-place areas. Be sure to regularly review and update these plans at least annually to ensure accuracy and effectiveness.
- Collaborate with local emergency agencies: Establish partnerships with local fire departments, health organizations, and emergency management agencies. This ensures coordinated response efforts and allows for community involvement in preparedness events and campaigns.
- Conduct training and drills: Enhance preparedness by providing hands-on training sessions that cover emergency procedures, first aid, the use of defibrillators, and other emergency equipment. Additionally, organize routine drills for emergencies, such as fire, earthquake, active shooter, or lock-down situations, to ensure employees understand their roles and responsibilities.
- Build and maintain emergency kits: Instruct employees and promote the benefits of personal emergency kits. These kits can include items like bottled water, non-perishable snacks, first aid supplies, medications, and a flashlight. Additionally, the organization can enhance preparedness by developing communal kits which include essential items such as blankets, batteries, first aid materials, and tools. Ensure these are accessible to all employees.
- Promote awareness and education: Train continuously to keep the topic of preparedness fresh in the minds of employees. Workshops can cover a range of topics, including disaster response, mental health in crisis situations, and cybersecurity, providing valuable knowledge and best practices to help employees be prepared. Additionally, consider inviting local emergency management experts to share their expertise and provide training opportunities that specifically address the preparedness needs of your organization.
Why should my organization participate?
National Preparedness Month, which is observed annually, serves as a reminder for individuals, families, and organizations to be better prepared for emergencies. This event, established by the Federal Emergency Management Agency (FEMA) in 2004, aims to promote actions that can protect lives, property, and communities during disasters.
Along with this voluntary initiative from FEMA, it is important to remember that OSHA requires organizations to provide workplaces free from recognized hazards and develop emergency action plans as necessary, in accordance with 29 CFR 1910.38. These plans must, at minimum, include procedures for:
- Reporting emergencies,
- Evacuating personnel,
- Accounting for personnel,
- Identifying responsibilities for those performing rescue or medical duties, and
- Including contact information for employees if they have questions.
Lastly, employers are required to provide training on all aspects of the program to their employees.
Key to remember: Employers have a responsibility to safeguard their employees by being prepared for any potential crisis. National Preparedness Month offers an ideal opportunity to review, refine, and rehearse these plans.
