Did you remember to run your annual limited queries?
Motor carriers were required to run their first annual limited queries of the CDL Drug and Alcohol Clearinghouse no later than January 5, 2021. That means your second annual limited queries should have been run no later than January 5, 2022. If you haven’t yet run them, make sure to request your queries as soon as possible. We also recommend documenting why the queries weren’t run on time and outlining how your organization will prevent the same mistake from being made in the future, such as setting up an electronic calendar reminder. This documentation of your good faith efforts will assist in the event of an audit.
To help streamline your recordkeeping, you can request a bulk query and run all of your queries at one time, similar to how many motor carriers run their annual motor vehicle records from the state driver’s license agencies. Instructions for requesting bulk queries can be found by searching the keyword “bulk” at https://clearinghouse.fmcsa.dot.gov/FAQ.
Why is a report necessary?
The annual limited query assists you in learning of testing violations occurring under another motor carrier’s program, but not reported to you by your CDL driver (i.e., failed pre-employment test or violation under concurrent employment). If you hired someone since the implementation of the Clearinghouse, the first annual query for that driver is required within a year of the pre-employment query.
