EMS Management Review

This checklist outlines the elements needed to conduct a complete and consistent management review as part of an Environmental Management System (EMS). Management reviews are key elements in ISO 14001 and “ISO-like” systems. These reviews provide an opportunity for a site management team to stay informed of all the details in the EMS. Using this list ensures that each review includes all the elements required by the ISO standard and that allow the management team to make risk-based decisions.

Details of management review

  1. Record mechanism used to deliver the review (in person presentation, virtual presentation, email distribution, etc.)
  2. Record of those present at the management review (name and title)
  3. Record the person(s) preparing and presenting the review
  4. Record date the review is conducted (or distributed)
  5. Copy of review material, attendee list, and all other records saved in designated location

Elements to include in management review content

  1. Results of internal audits and evaluation of compliance.
    1. Include a list of when audits and evaluations were conducted, number of findings identified in each, and the status of each finding.
    2. These audits/evaluations can include regulatory inspections, third party consultant audits, other external ISO 14001 audits, ISO 14001 self-audits, corporate program audits, voluntary program evaluations (e.g., sustainable forestry initiative, ISO 45001)
  2. Details of any communication from and with interested parties about your EMS.
    1. Types of communication can include complaints (e.g., odor, noise) from community, customer requests, community tours, press inquiries, employee concerns, etc.
  3. Update on the overall operational environmental performance
    1. Should include a description of any notices of compliance or violation, major program deviations, etc.
  4. Explain the extent to which objectives and targets have been met
    1. For each objective provide the goal that has been established, the status toward that goal, any major actions planned to help achieve the objective.
  5. The status of environmental incidents, non-conformities, corrective actions related to those incidents, and the status of each corrective action.
  6. Share with the management team and changing circumstances, including external and internal issues, that are relevant to the EMS.
    1. Include any changes around the interested parties, regulatory changes, pending changes related to significant environmental aspects, and opportunities.
  7. Review recommendations for improvement of the EMS.
    1. Include an evaluation of resources and needs.
  8. Provide, to the management team, any information requested during previous reviews and the status of any actions related to those.

Outputs from Management Review/Question to ask during management review

  1. Are there thoughts/conclusions on the continuing suitability, adequacy, and effectiveness of the EMS?
  2. Are there continual improvement opportunities that should be explored? Is there any need for changes to the environmental management system, including resources?
  3. Are there actions needed to improve progress toward our objectives?
  4. Are there opportunities to improve integration of the EMS with other business processes?
