Yes. FleetMentor’s electronic driver qualification (DQ) files satisfy DOT requirements. According to 390.32, you may create and store almost all FMCSA-required documents electronically, including DQ files.
As with a paper file, it is important that your files are complete and up-to-date. Any uploaded, scanned document in the system must be opened, viewed, and read easily.
How does this work during an audit? The auditor will ask for the selected driver files, and the medium by which the audit is conducted is based on a few variables:
- It is up to the carrier as to whether or not they want to give their FleetMentor login to the auditor to view the files online. If the carrier prefers not to share their login, they would login themselves and print a hardcopy file for the auditor to view.
- If the carrier does allow the auditor to log in to view the file electronically, they should understand that some auditors still prefer to audit hard copy files. If this is the case, they will need to log in and print off hard copies for the auditor to view.
